Dex - Inviting New Users

To use all the features of Dex, the Admin of your organization must first invite you to become a credentialed Dex user, which entails assigning you to a role. Roles are sets of individual permissions for a user and are tied to the organization(s) to which the user belongs. A user can have more than one role and hence, more than one set of permissions.

While the permissions of these roles constrict your access to resources in the Live environment, you have full Admin permissions to your Dex organization in the Sandbox environment. For more information on roles, see Managing Roles and for information on Sandbox testing, see Testing in Sandbox.

Creating Invitations

NOTE: Only Enrollment or Customer Support can perform the following tasks. To invite users to a Sandbox Dex organization, be sure you're in the Sandbox environment before sending the invitations. Sandbox roles may have fewer permissions than Live roles (e.g., partner users will not have access to the merchant application, rate plan, funding, or disputes modules in Sandbox).

  1. To begin setting up users for a Dex organization, access the organization, and then click Manage > Users in the Dex menu. The Users Datagrid displays.
  2. Click the Invite Users button. The Invite Users Modal displays.
  3. Select the Individual invitation type and then click the Next button. Every user invited via this method will have the same role.
  4. Enter the email address of the person you're inviting to join Dex in the Email field. To invite multiple users at once, separate the email addresses by commas with no spaces.
  5. Use the dropdown menu to select a Role for this user or group of users. The roles available in the dropdown menu depend on the organization (e.g., partners only have access to partner roles and merchants only have access to merchant roles).
  6. Select the invite template you want to use: The Standard Template or the Merchant Approval Template. The Standard Template option sends a generic invite email with a Dex boilerplate message. The Merchant Approval Template contains the Name and ID of the inviting organization and location.
  7. If you would like to add a personal message to the invitation email in addition to the generic, default text, enter it in the Message field. NOTE: This field pre-populates with a message indicating that this invitation gives the user access to Dex in both Live and Sandbox.
  8. After completing all the required fields, click the Invite button. Dex returns you to the Users Datagrid with the new user(s) listed in the datagrid in the Invited status. Each user has eight days to complete the Dex registration process before the unique registration link in the email expires. You must resend the invitation in the event of an expired link.

Creating Bulk Invitations

NOTE: Only corporate users with Account Manager, Customer Service Manager, or Product roles can perform the following tasks. To invite users to a Sandbox Dex organization, be sure you're in the Sandbox environment before sending the invitations. Sandbox roles may have fewer permissions than Live roles (e.g., partner users will not have access to the merchant application, rate plan, funding, or disputes modules in Sandbox).

  1. To begin setting up users in bulk for a Dex organization, access the Forte Corporate Organization, and then click Manage > Users in the Dex menu. The Users Datagrid displays.
  2. Click the Invite Users button. The Invite Users Modal displays.
  3. Select the Multiple invitation type and then click the Next button.
  4. Click the Browse button to open a File Explorer window and select the .csv user invite file or drag and drop the file into the Invite Users Modal. This file can contain up to 500 records and must include the following columns in the specified order from left to right: email, role, and AccountID. The headers must be included in the file. Specified roles can be both standard and custom roles created for that organization. Additionally, users from multiple organizations can be included in the same file.
  5. Dex performs validations on the file to ensure proper formatting. If it finds validation errors, it will specify the column and row of the bad data. Once Dex indicates that the document is valid, click the Invite button.
  6. Dex sends the invitations and displays a success message in the Invite Users Modal. Click the Okay button to return to the Users Datagrid with the new user(s) listed in the datagrid in the Invited status. Each user has eight days to complete the Dex registration process before the unique registration link in the email expires. You must resend the invitation in the event of an expired link.
